Unless you are incredibly organized, you probably don't have a tidy, up-to-date mailing list at the ready. If you do, it may not include everyone you want to invite to your wedding (or maybe it includes a few too many).
Luckily, we live in the digital age, and gathering and a list of contacts is made pretty easy with the help of some address collecting apps that are available. A lot of them are free, so this really doesn't need to be a long, arduous process.
You will want to collect addresses one month before you would like to send out your invitations. The first thing you will need is your initial wedding guest list. Once you have completed that, choose one of the address collecting methods below, and start collecting!
There are lots of really useful address collecting apps that you can sign up for that will make your life so much easier. Some of them are also pretty awesome wedding planning apps too.
Zola is a completely free wedding planning app that includes a guest list manager. You can send a link to your Zola online contact list via text, facebook messenger, or email to your guests. They then fill out their own contact details for you. So easy! You can also upload your existing spreadsheet of contacts.
If you don't want to use an app (but really, why wouldn't you?), the old school method is another way of doing it. Email, call or text everyone on your guest list, and populate the information yourself into a spreadsheet. This is, of course, very time consuming, but I suppose it would give you a very granular overview of what is happening with your guest list, how complete it is, and what information is still missing.
Simply create a new Google Sheets document and create your contact detail columns. This can include things like name, email, address, number of guests attending, and whether they have returned their RSVPs or not.
I created an editable Wedding Guest Mailing List Spreadsheet to save you the trouble of creating your own. It has everything you need to manage your guest list. Sign up below to get the spreadsheet.
In reality, you will probably need to combine all of the above methods to complete your list. Grandma probably doesn't have facebook messenger, and she probably checks her emails once a month. Heck, some of your friends who are your age probably do the same as grandma.
You will need to do some calling around to get the information you need from people who are technology averse.
I would suggest a combined strategy for collecting addresses that will minimize the amount of time and energy you need to spend on this, but still get accurate results. Start by signing up for one of the address management apps I mentioned above, and sent this out to the majority of your guest list. This will get you most of what you need.
Then manually populate your spreadsheet with all of the guests who you need to contact by phone. With your spreadsheet open on your laptop or ipad, call each person on the list to get their information. You should be able to do this in one sitting, preferably sitting in the afternoon sun with a glass of your favorite wine. And maybe a little chocolate on the side. Just sayin'.
If you use an app like Zola, you can upload your spread sheet and complete your online list in one simple step.
